VT Employment Agency (“we,” “us”) respects your privacy. This page explains what we collect, why, and the choices you have.
Information we collect
When you contact us, request talent, or apply for a job, we collect the personally identifiable information (PII) you submit: your name, email address, phone number, employment history and preferences, work eligibility documents, references, and any resume or notes you choose to share. For workers we place, we or our payroll provider collect the payroll and tax information needed to pay you and meet our reporting obligations (such as Social Security number, bank details for direct deposit, and tax-withholding elections). Where we use the USCIS Torch Case Status API on an authorized individual's behalf, we additionally collect and store the USCIS-issued Receipt Number (for example, the 13-character receipt number on Form I-797, Notice of Action) as confidential PII. We also collect basic, aggregated traffic data through privacy-respecting analytics.
How we use it
We use your information to staff Vermont employers — presenting candidates to employer prospects, scheduling interviews, running authorized background screening, paying placed workers, responding to your inquiries, and meeting our legal and tax recordkeeping obligations. We do not sell personal information, and we do not use it for advertising or to build behavioral profiles.
USCIS Receipt Numbers and the USCIS Torch Case Status API
With the authorized individual's consent, we use Receipt Numbers generated by U.S. Citizenship and Immigration Services (USCIS) — such as the 13-character receipt number issued on Form I-797, Notice of Action — to query case status updates through the USCIS Torch Case Status API. This lets us help workers, sponsored candidates, and the employers we staff stay informed about the progress of pending USCIS petitions and applications (for example, Form I-129, I-140, I-485, I-765, or I-130 cases) on which the individual is the petitioner, beneficiary, or an authorized representative.
Specifically, USCIS Receipt Numbers are used only to:
- transmit the Receipt Number to the USCIS Torch Case Status API to retrieve the current case status, form type, and last-updated date USCIS makes available for that case;
- display the returned case-status information back to the authorized individual or their consented representative;
- keep a confidential record that the lookup occurred (date, time, and the Receipt Number queried) for legal, audit, and USCIS API compliance purposes; and
- re-query the USCIS Torch Case Status API on a reasonable schedule, with the individual's ongoing consent, to surface case-status changes.
USCIS Receipt Numbers are not used for marketing, advertising, behavioral profiling, automated decision-making about employment, training of machine learning models, or any purpose other than the case-status lookups described above. We do not sell, rent, or trade USCIS Receipt Numbers, and we do not share them with any third party other than USCIS itself (as required to call the USCIS Torch Case Status API) and, where applicable, the vetted infrastructure provider that hosts the request — and only then where bound by written confidentiality terms — except where disclosure is required by law.
USCIS Receipt Numbers are stored as confidential PII, access-restricted to staff who need them to perform case-status lookups on the individual's behalf, transmitted over TLS, and retained only as long as the underlying case remains open or as required by our recordkeeping obligations. The authorized individual may withdraw consent and request deletion of their stored Receipt Number at any time by emailing info@vtemploymentagency.com; we will honor the request unless we are legally required to retain the record.
Sharing
We share applicant information with prospective Vermont employers only as needed to present you as a candidate, and only for as long as the placement opportunity is active. We also use vetted service providers — for example, email delivery, hosting, background screening, and payroll/tax processing — bound by confidentiality terms. We never sell your information.
Your choices
You can ask us to access, correct, or delete your information at any time by emailing info@vtemploymentagency.com or calling (802) 448-3957. We retain applicant and placement records for as long as needed to provide our services and to meet federal and state employment, tax, and other legal recordkeeping requirements; after that we delete or de-identify them.
